The role

The Office Manager at Investigator College is responsible for overseeing the efficient functioning of the school office environment. This role involves managing a small administrative team, ensuring the office is welcoming, and supporting the daily operations of the school. The Office Manager will also handle reception duties, maintain accurate records, and manage rostering and scheduling for front desk coverage. This position requires a proactive, organised individual with strong leadership, communication, and organisational skills.

Key responsibilities

Team Management: Lead a small administration team, ensuring high performance and fostering a positive, collaborative culture.

Office Supervision: Oversee the office environment, maintaining a welcoming tone, organising team meetings and supporting their development.

Rostering: Manage the front desk schedule, ensuring there is adequate coverage during term and non-term time.

Sign-In/Out System: Monitor the sign-in and sign-out of staff, students, volunteers and contractors.

Reception Duties:

  • Greet and take general enquiries from students, families and service providers with a friendly and professional demeanor.
  • Oversee the handling of incoming calls and direct them appropriately or take messages when necessary.
  • Assist with meeting setups, including room arrangements and necessary equipment.
  • Process EFTPOS transactions, sort and distribute incoming mail and emails, preparing correspondence as needed.
  • Maintain accurate records by inputting and updating family and service provider information into our databases.

About you...

  • Proven experience in office management or a similar administrative role.
  • Polished leadership abilities with the capacity to manage and motivate a small team.
  • Excellent organisational skills, with the ability to manage / oversee multiple tasks effectively.
  • Exceptional communication skills, both verbal and written.
  • Proficiency with office software and databases.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Friendly, approachable, and customer-focused attitude.
